One race. One system.

The whole race in one system: from entry to the stewards’ decision.

Three connected apps for motorsport event organisers: the race office, scrutineers and stewards work in one system, and drivers have everything on their phones.

  2. Scrutineer DeskThursday 20:14

    Entries without retyping

The race office imports the entries from the organiser’s website in a single file and publishes the timetable. Drivers have it on their phones straight away.

What it changed elsewhere: 178 entries in 11 classestimetable on the phone

  3. Scrutineer DeskFriday 08:40

    Administrative checks in one scan

The secretary scans the pairing code on the driver’s phone and ticks off licence, insurance and transponder. The passes are on the phone straight away and the stewards have the start list.

What it changed elsewhere: passes to the phonestart list to the stewards

  4. Scrutineer DeskFriday 10:05

    Tyres without mix-ups

The scrutineer reads the label with a scanner. Scrutineer Desk enforces the set limit for the class and catches a label that already belongs to another driver.

What it changed elsewhere: the driver sees their tyres

  5. Scrutineer DeskSaturday 14:41

Who is missing from the pre-grid

Two scrutineers scan tyres, each with their own scanner, and there is one counter. Anyone missing gets a call-up on their phone.

What it changed elsewhere: call-up to Nos. 23, 27 and 41

  6. Scrutineer OSSaturday 15:06

    A random check with AI

After qualifying, the scrutineers pick No. 27 at random for an engine check. The scrutineer asks Scrutineer OS what to measure and under which rule. Every citation is verified in the PDF.

What it changed elsewhere: answer with citations for the scrutineer

  7. Scrutineer OSSaturday 15:12

An incident from the footage, frame by frame

Two karts touched in turn 3. The steward picks frames from the video, the AI reads them, and the steward confirms or corrects the facts. Only then comes the assessment, with verified citations.

  8. Scrutineer OSSaturday 15:24

A report with the homologation limit

The scrutineer measures the engine and records the report in Scrutineer OS. The limit from the homologation form sits with the report, together with a verified citation.

What it changed elsewhere: report to the stewards

  9. Scrutineer OSSaturday 15:35

    A summons that gets through

The stewards summon the entrant. Every role on the entry receives the message, and the stewards see who has read and confirmed it.

What it changed elsewhere: summons to every roleconfirmation back to the stewards

  10. Scrutineer OSSaturday 16:02

The decision on the notice board

The stewards write and sign the decision. It is issued in the structure federations know, and the notice board records the time from which the time limit runs.

What it changed elsewhere: on the notice board for every driver

  11. Scrutineer OSSaturday 16:19

A protest with an admissibility check

The entrant lodges a protest where the regulations allow it. The stewards have it on record with the time of receipt, and the system checks the formal requirements.

What it changed elsewhere: protest to the stewards with time of receipt

  12. Scrutineer OSSunday 18:30

The whole weekend in one system

The report to the federation compiles itself and cannot be sent while anything is missing. Every piece of data from the weekend was entered once, and everyone had it in time.

We measured a combustion chamber volume of 10.46 cm³ on No. 27. Is it legal?

Searched in order of precedence

BulletinsSupplementary regulationsNational regulationsTechnical regulationsHomologation forms

The homologation form sets the combustion chamber volume at no less than 10.50 cm³ at 25 °C1. The measured value is 0.04 cm³ lower. The measuring procedure is laid down in the technical regulations2. The measurement must follow it exactly, otherwise the report can be challenged.

    • Data in the EU

    Scrutineer OS

The app for stewards, scrutineers and the clerk of the course. It runs in the browser on phones, tablets and laptops.

Questions on the regulations with verified citations

The steward asks in plain language. The AI searches the organisation’s documents and answers with citations giving article and page. The program then looks up every citation word for word in the uploaded PDF:

    • green: text found on the stated page,
    • orange: found elsewhere or under a different article,
    • red: not found, and the app says so.

Documents without a text layer (pure scans) can be opened and zoomed, but are not cited automatically.

Ask in Czech, English, German, French, Spanish or Italian, with more languages on the way. Citations stay in the original.

Order of precedence at the event

Sources are searched in their order of precedence: bulletins issued during the event, supplementary regulations, national sporting regulations, homologation forms. Each decision records which documents it was based on.

    Incidents and video
    • Frames are picked from the video (mp4, mov, webm): step by 0.1 s or 1 s, a single frame or a series of 5 at 0.2 s, up to 20.
    • The AI reads each frame (who is ahead, movement, contact) and the steward confirms or corrects the facts. The model’s reading can vary between runs, which is why the confirmation is what counts.
    • The assessment is based only on confirmed facts, with verified citations. Code checks cited decisions against the collection of decisions.
    • The stewards’ preliminary view is recorded before the comparison with earlier cases.
    • Playback defaults to real time, and slow motion is logged. The video is not stored, only a link and the file’s SHA-256 hash; timing passings for the same lap can be imported.
Earlier cases and spread of penalties

With each case you see similar earlier cases and how the stewards decided them. Statistics show the spread of penalties imposed over the season.

Procedure adviser: completeness, time limits, admissibility and earlier cases

The adviser keeps an eye on the procedure for each case, the way an experienced colleague would:

    • a completeness check before a decision is issued (facts, articles, signatures),
    • time limits from the time recorded by the notice board,
    • admissibility of a protest (time limit, provision, a single entrant protested against, fee),
    • this panel’s earlier cases, with a link to the decision.

Every sentence has a verified citation. The stewards decide.

Procedure adviser: next step and reminders

For each case it suggests the next procedural step, such as a summons with the right to be heard, and reminds you of what must not be left out, for example the measuring temperature in a technical report. It proposes neither a verdict nor a penalty.

    Technical reports and decisions
    • Technical report with the measured value, the limit from the homologation form, and photos.
    • Reasoned decision with four mandatory parts (those present, evidence, reasons, decision) and mitigating or aggravating circumstances.
    • The system does not propose a verdict. It pre-fills the groundwork with verified articles; the stewards write the decision.
    • PDF with reference number, signature blocks and information on the right of appeal; the full version and the notice board version come from a single form.
    Protests, appeals and time limits

Time of receipt, admissibility check (party, provision, fee, one party per protest, time limit) and live countdowns on every screen. Time limits are configurable; the defaults are 30 minutes to lodge a protest, 60 minutes to give notice of appeal and 96 hours for delivery. A five-stage log with timestamps.

    Report to the federation

The report cannot be sent while any decision is missing a required item. The system says which one and jumps to it. The report includes a summary of the penalties imposed.

    Scrutineer Desk

The app for the race office and scrutineers. It works with the USB and 2D barcode scanners organisers commonly use, on any number of tablets at once.

    Administrative checks
    • Pairing with the driver app by scanning the code on the phone.
    • Passes for drivers and other people.
    • An invalid licence is highlighted; the decision stays with the secretary.
    • Sign-in sheets and entry from paper in case of an outage.
    Tyres and scrutineering

Label registration, set limit by class, and warnings for a label assigned to another driver and for a mixed set. The driver sees their tyres in the app straight away.

    Pre-grid and check windows

Session selection from the timetable, several classes and several devices at once, a counter of those missing and a call-up to the phone. Check windows track who did not complete their checks in time.

    Notice board and timetable

Bulletins, timetable and results. The notice board assigns the order and the time of publication, from which time limits run.

    Pitwing

The mobile app for drivers, entrants, mechanics and team managers. One profile can hold several roles and works across organisers.

    Pass and checks status

Accreditation in Apple and Google Wallet with a live element that defeats screenshots. A printed pass from the race office remains the fallback.

    Timetable, notice board and tyres

Session changes, official documents with the time of publication and a time limit countdown, the driver’s own tyres and the class equipment.

    Summons

Every role on the entry receives the summons. The first confirmation stops the escalation. No SMS; the backup is a person. The stewards see the delivery and confirmation status.

How they talk to each other

Three separate apps. No feature lives in two of them; the others hold a copy. The connection switches on when an organisation uses more than one app.

Rules, time limits and the notice board

The system handles time limits as set by the FIA International Sporting Code and the national sporting regulations. Defaults are configured to match the federation and the event regulations.

    Protest against the classification

30 minutes from publication (FIA International Sporting Code, Art. 13.3.6). The time limit runs from the time recorded by the notice board.

    Notice of appeal

60 minutes from publication of the decision (FIA International Sporting Code, Art. 15.4.2.a). The decision includes information on the right of appeal, with the time limits from the settings.

    Electronic notice board and service

A digital official notice board is common in motorsport. When electronic service takes effect is determined by the event regulations and the organiser; we agree the conditions with each organiser.

    Data and security

    Separation of organisations

Each organisation has its own space. Documents, decisions and technical reports are visible only to its accounts, with roles for scrutineers, stewards and administrators.

    Controller and processor

The organisation is the controller of personal data, we are the processor. A data processing agreement is part of the deployment. Shared data is stored in the EU. No advertising, no selling of data.

    AI

The AI runs through the Anthropic API under Anthropic’s commercial terms. We send the exact terms and a description of the processing in writing on request.

    Audit trail

A protest log with timestamps and a chain of checksums that reveals any later change to a time or deletion of a record. It is not a cryptographic signature.

    Frequently asked questions

Do we have to deploy all three apps?

No. Each one works on its own. When you add another, they connect, and no feature exists in two places.

Does the AI decide for the stewards?

No. The system finds, verifies and documents. It does not propose a verdict; the stewards choose and sign the decision.

What if the AI cannot find the answer in the regulations?

Code verifies every citation in the uploaded PDF. If it cannot find the text, the app says so, and the answer has no basis in the rules.

Which languages does it work in?

Czech, English, German, French, Spanish and Italian, with more on the way. Citations stay in the language of the original.

    Where is our data?

The organisation is the controller of personal data, we are the processor. Shared data is stored in the EU. No advertising, no selling of data.

What do you need from us to get started?

PDFs of the regulations and homologation forms, a list of stewards and their roles, a decision template if you have one, and a contact person.
